Privacy Policy
The short version: Scribwolf Free and Pro never upload your audio. Your recordings and transcripts stay on your Windows machine unless you choose the Cloud tier and explicitly enable sync.
1. What Scribwolf collects
Audio recordings. Scribwolf captures microphone audio and system loopback audio during a recording session. This audio is written to your local machine only. It is never transmitted to Scribwolf servers on Free or Pro.
Transcripts and recaps. Scribwolf processes audio locally (Free and Pro) or via your own API key (if configured) to produce transcripts and meeting summaries. These outputs are stored in a local SQLite database inside the Scribwolf application folder on your machine.
Account information (Cloud tier only). If you create a Scribwolf Cloud account, we collect your email address and a hashed password. We do not collect payment information directly — payments are handled by Stripe.
Transcript text (Cloud tier only, if sync is enabled). When Cloud sync is enabled, transcript text (not audio) may be transmitted to our hosted database for cross-device access. You can disable sync at any time.
Anonymous usage telemetry (opt-in). If you opt in, Scribwolf may collect anonymized usage events (e.g. "recording started", "recap generated") to improve the product. No audio, transcript content, names, or identifying information is included. You can opt out in Settings.
2. What Scribwolf does NOT collect
- Audio from your meetings is never uploaded on Free or Pro tiers.
- Scribwolf does not join your calls as a bot. It records from your local machine only.
- We do not sell personal data to third parties.
- We do not use transcript content to train AI models.
- We do not use tracking pixels, ad networks, or behavioral advertising.
3. How data is stored
Local (Free and Pro). All recordings, transcripts, and settings are stored in the Scribwolf application folder on your Windows machine. You can move, back up, or delete this folder at any time. Uninstalling Scribwolf does not automatically delete your data — you must manually remove the folder to delete it.
Cloud (Cloud tier, if enabled). Transcript text may be stored in an encrypted database hosted on Microsoft Azure. The database is hosted in the West Europe region. Audio is never stored in the cloud.
4. Third-party services
- Stripe — payment processing for paid subscriptions. Stripe's privacy policy applies to payment data.
- Microsoft Azure — cloud infrastructure for the optional Cloud tier (transcript sync and account management).
- OpenAI / Azure OpenAI — optional cloud AI summaries when using the Cloud tier with the default AI recap provider. Transcript text may be sent to OpenAI's API. You can configure a different provider or use local AI to avoid this.
No third-party service receives your audio.
5. Data retention
Local data is retained until you delete it. Uninstalling the app does not delete local recordings or the database.
Cloud account data is retained while your account is active. You can request deletion by emailing privacy@scribwolf.com. Deletion requests are fulfilled within 30 days.
6. Your rights
Depending on your jurisdiction, you may have rights to access, correct, or delete personal data we hold about you. To exercise these rights, contact us at privacy@scribwolf.com.
For EU/UK users: Scribwolf acts as a data controller for Cloud tier account data. You may lodge a complaint with your local data protection authority.
7. Children
Scribwolf is not directed at children under 16. We do not knowingly collect personal data from children.
8. Changes to this policy
Material changes will be communicated by updating the "Last updated" date at the top of this page and, for Cloud users, by email. Continued use after the effective date constitutes acceptance.
